The Supervisor of Fleet and Stores Services will plan, lead and direct the work associated with the procurement, repair and maintenance of fleet assets including passenger vehicles, light, medium and heavy duty trucks, trailers, construction and agricultural equipment, and associated attachments and accessories. They will also manage department stores services.

The ideal candidate will have completed OSSD or equivalent plus post-secondary education in Business Administration, Fleet Management, Operations Management or equivalent, and possess at least five (5) years related supervisory experience. They will also have five (5) years of relevant mechanical background with a working knowledge of fleet administrative procedures, including with automated Fleet Management Systems, and at least Two (2) years experience in equipment maintenance, operation, preventative maintenance procedures and various automotive/truck equipment, including the use of computerized fleet information and fuel management systems. The candidate must be a Licensed mechanic with valid Automotive Service Technician (310S) and Truck and Coach Technician (310T) trade certificates recognized by the Ontario College of Trades, and hold Ozone Depletion Prevention (ODP) and Drive Clean Certifications, a Valid drivers’ license (DZ preferred) with driving record acceptable to The Corporation, and First Aid and CPR Certification.

Compensation includes an annual salary of $102,746 - $123,295 (2025 salary range) and includes a comprehensive health, benefit and pension package.

Position Objective

To plan, lead and direct the work associated with the procurement, repair and maintenance of fleet assets including passenger vehicles, light, medium and heavy duty trucks, trailers, construction and agricultural equipment, and associated attachments and accessories. Manage department stores services.

Duties and Responsibilities

  1. Continually promote a strong culture of safety through daily safety discussions, review and development of job safety assessments, ensuring staff receive required training for all machinery and equipment being utilized and observing safety practices through onsite inspections.
  2. Ensure tools and equipment are maintained in a safe working conditions and organized to avoid misplacement, loss and downtime. Ensure that maintenance/repair issues are accurately documented.
  3. Contribute to the creation of and monitor section budget; acquire necessary supplies and services, subject to budgetary guidelines and purchasing policies; receive and process revenues in accordance with approved policies.
  4. Maintain high customer satisfaction by regularly interacting with both internal and external stakeholders and providing timely responses and accurate guidance and maintaining accurate customer records through the corporate customer relationship management software.
  5. Responsible for implementing and utilizing digital maintenance management systems to interpret workforce and operational needs, ensure and tracking and documentation is complete and to continually optimize operational activities by reviewing/analyzing workflow information to ensure productivity, quality and efficiency are being achieved.
  6. Recruit, evaluate, and coach employees, identify training needs, assist with employee retention, perform disciplinary actions and professional development in accordance with the Collective Agreement and Human Resources Policies.
  7. Establish realistic and optimized work assignments through planning, scheduling and supervising staff and overseeing contractors and efficient equipment usage while ensuring works are completed within approved budgetary limits.
  8. Regularly communicate with the Manager on work activities; in the formulation and implementation of short and long-term policy, strategic/operational objectives, special projects; in the tracking/reporting/analysis of performance measures; provide capital and operating budget information and data; contribute to the preparation and presentation of administrative reports, policy recommendations, by-laws and resolutions for Council’s consideration.
  9. Remain current of statutory and regulatory enactments and amendments and recommend appropriate operational and/or policy responses.
  10. Respond to requests for information regarding insurance claims arising from road infrastructure and attend legal proceedings when directed.

  11. Perform all operational responsibilities of the Manager in their absence as required; relieve other Roads, Parks and Fleet Division Supervisors as required.

  12. Preparation and execution of long-term vehicle and equipment replacement plan in concert with the Manager of Procurement.

  13. Gathering of data and the establishment of fleet use charge out rates.

  14. Develop detailed specifications for vehicle and equipment tenders.

  15. Prepare administration reports and ensure Commercial Vehicle Operators Registration (CVOR) and insurance requirements are met.

  16. Function as primary contact for emergency and non-emergency fleet maintenance requests, including initiating, processing, updating and closing work orders and related invoices.

  17. Maintain computerized maintenance and inventory records, and physical files for warranty, recall, emissions inspection and repair documentation.

  18. Scheduling of preventative maintenance, repairs and special projects.

  19. Manage the procurement and inventory of safety equipment, building maintenance supplies and small tools for the operations centre and other department divisions.

  20. Act as liaison with user departments regarding service problems, recall notices, scheduling and informational requests.

Education and Experience

· OSSD or equivalent plus post-secondary education in Business Administration, Fleet Management, Operations Management or equivalent.

· Knowledge of government regulations pertaining to motor vehicle fleets.

· Mechanical aptitude.
