Brief job description of the Controller position at Land Rover Brossard:
• Lead financial planning and accounting practices as well as reporting with credit institutions, shareholders, and the financial community; • Regularly report the precise financial situation of the entire organization; • Present sales and expenditure analyses; • Provide a financial status report; • Develop control systems enabling efficient operation of the company; • Maintain accurate records; • Implement and maintain data processing systems to meet objectives.
Administrative tasks • Control and direct company activities such as treasury, budget establishment, accounting audits, purchasing, fixed assets, and insurance; • Collaborate with administrators on long-term planning, cash management, and fund allocation; • Maintain relationships with financial institutions regarding credit lines and fund management; • Analyze, consolidate, and direct all cost determination methods as well as other statistical and routine reports; • Analyze studies on general economic conditions, business, and finance and their impact on policies and operations; • Supervise and direct the production of the annual report; • Evaluate the organization’s financial situation and regularly issue financial and operational reports; • Maintain close ties with the accounting firm to ensure compliance with generally accepted accounting principles and to maintain the company’s financial structure, maximizing tax benefits; • Support administrators in managing cash flow, monitoring ongoing contracts, and accounts receivable; • Collaborate with administrators to establish financial forecasts and budgets for each establishment or service if applicable; • Act as a representative at the request of administrators; • Prepare detailed monthly financial statements according to administrators’ directives, schedule, and format required by the manufacturer; • Ensure all manufacturer accounts are up-to-date and accurate, including warranty claims, discounts, interest protection, and collective advertising; • Negotiate and oversee various contracts with suppliers (IT, snow removal, telecommunications, advertising, web services, etc.); • Regularly analyze financial statements and daily operational control; • Approve credits for opening customer accounts; • Establish a accounts receivable collection policy and supervise follow-up; • Communicate with Ultra or another collection agency if applicable; • Issue detailed financial and management reports for the after-sales service director; • Maintain an effective cash management system, anticipating liquidity needs, and make recommendations regarding the profitable use of surplus cash; • Lead the assessment of applicable depreciation rates for fixed assets; • Analyze the general ledger and recorded accounts, noting any unusual entries; • Review reconciliation of general ledger accounts with external resources to ensure accuracy of bank reconciliations, reserve accounts, payable accounts to the manufacturer, and inventory financing; • Stay informed on tax laws and advise administrators of any relevant operational adjustments; • Ensure compliance with all government regulations related to finances, including required or retained forms, sales taxes, deposits, income taxes, pension regime records, etc.; • Set aside provisions for potential losses to cover possible liabilities; • Ensure all office staff use appropriate accounting methods and keep accurate records; • Analyze and oversee preparation of all data for accountants to reduce audit or review costs; • Continuously work to improve data accuracy and dissemination methods within the company; • Participate in directors’ meetings by providing necessary documents for their smooth conduct; • Meet each department head once a month to review financial statements; • Approve inventory account adjustments; • Coordinate annual audits and physical inventories; • Prepare a daily management report.
Insurance-related tasks • Maintain good relationships with insurers to obtain adequate coverage; • Contract insurance for risks and liability coverage; • Prepare and send all insurance claims; • Process and forward any indemnity requests.
Human resources management tasks • Conduct formal performance evaluations of the team under their responsibility at fixed intervals; • Train and motivate the team under their supervision and participate in hiring in collaboration with their superior; • Manage employee benefits programs; • Collaborate with administrators to develop policies and publish policy statements and/or employee manuals; • Manage compensation policies ensuring compliance with the Pay Equity Act; • Keep employee records up to date; • Prepare all required documents to meet the Workforce Training and Development Act requirements; • Meet with directors and supervisors to identify training needs, draft the annual overall training plan, and follow up on it; • Ensure all steps related to completing the pay equity process are finalized if applicable; • Oversee the management of the retirement plan, at minimum a RVER, if applicable.
