Job Description

Subaru Métropolitain, a leading Subaru dealership in Montreal and a member of the Tremblay Auto Group, is seeking a Appointment Coordinator to strengthen its service and sales team. In this role, you will be the first point of contact for our clients and will ensure the smooth coordination of appointments to provide an exceptional customer experience.

Job Description You will be responsible for scheduling, coordinating, and optimizing appointments related to after-sales service and sales, while maintaining clear and professional communication with clients and the internal team. You will play a key role in maintaining an effective schedule, a harmonious workflow, and a high customer satisfaction rate.

Responsibilities

  • Schedule and coordinate appointments for the service and sales departments, in collaboration with technicians and agents.
  • Manage phone calls and email inquiries, ensuring courteous and customer-oriented reception.
  • Update the CRM and calendars, confirm appointments, follow up on changes, and re-contact clients if necessary.
  • Prioritize requests based on urgency and availability, and communicate any changes to the team and clients.
  • Monitor the appointment center’s performance indicators and prepare reports for the supervisor.
  • Work closely with departments to ensure a smooth and consistent customer experience.

Required Qualifications

  • Required experience: 1 year in a similar role (appointment coordination, reception, customer service, or administration).
  • Excellent communication skills in French; proficiency in English is an asset.
  • Proficiency with computer tools (CRM, MS Office; experience with appointment scheduling software is appreciated).
  • Strong service orientation, excellent organizational and time management skills.
  • Ability to work as part of a team, handle stressful situations, and prioritize tasks.
  • Availability to work flexible hours as needed by the center.
