Job Description

We are seeking an organized and welcoming person to handle reception and provide administrative support to management and teams (sales, service, parts, accounting). The position contributes to the smooth running of daily operations: customer service, documents, files, and follow-ups.

Key Responsibilities

• Respond to incoming calls, screen and transfer to the appropriate contact; take detailed messages. • Respond to general customer inquiries professionally (basic information, appointments, follow-ups, redirections). • Greet visitors, clients, and employees courteously and efficiently; maintain a clean and organized reception area. • Manage the general email inbox (if applicable) and ensure prompt follow-up on requests. • Draft, file, and update administrative documents (emails, forms, lists, follow-ups). • Prepare and assemble operational files (e.g., vehicle files, sales documents, delivery paperwork). • Fill in the headers and preliminary information on contracts/forms, then forward for final approval. • Follow up with clients to obtain missing documents and ensure file compliance. • Create or update vehicle inventory files (paper and/or digital); prepare labeling/key tags according to procedure. • Provide occasional support: organization of internal events, related administrative tasks as needed.

Profile Sought

• Bilingual French/English (oral and written). • High school diploma (DES) or equivalent (training in office administration: a plus). • Relevant experience in reception or administrative support. • Proficiency with computer tools and office software (emails, word processing, spreadsheets, calendar). • Strong customer service skills, courtesy, neat presentation. • Organizational skills, rigor, and effective priority management. • Discretion and respect for confidentiality (sensitive information, client files). • Autonomy, reliability, team spirit, and adaptability.
